Job Description

Plan and schedule meetings and appointments for Associate VP for IT/CIO
• Review incoming mails, memos, composes reports and correspondence, organizes
files for Associate VP/IT/CIO and other executive level managers
• Arrange, participate in and implement, as directed, IT administration meetings,
special events, receptions and committee meetings.
• Coordinate administrative activities, retrieving, organizes and disseminates
information to IT employees
• Fulfills purchasing requirements for assigned area, researching items and obtaining
price quotes, entering information into university systems, receiving purchase orders,
maintaining P-Card information, and reconciling purchases.
• Assist IT Employees on administrative requests and procedures, monitors progress
and brings to administrator’s attention critical problems needing immediate action.
• Create spreadsheets, presentations, documents and reports for IT leadership team
• Supports employment administration and human resources processes, serving as
a point of contact with the central HR department. Administers appointment
paperwork requirements for faculty, staff, and student employees. Fulfills
administrative requirements for faculty and other searches within area of
responsibility.
• Manages and audits annual and sick leave records, and employee timesheets.
Administers leave payouts. Prepares and approves online payroll certifications.
Reviews and reconciles payroll registers, and updates pay distribution. Serves as the
local point of contact on payroll issues.
• Arranges and coordinates travel for department staff, faculty, and incoming guests
and speakers.
• Maintain IT admin website; Process departmental PARs; Assist with IT Division
recruiting process and facilitate approval for IT Travels.
• Provide support for business workflow project.
• Participate in student service related activities like Student Orientation and Week of
Welcome.
• Assist in the development, implementation and administration of grants and
contracts.

Required Education

Bachelor’s degree in business administration, information systems, or
related field.

Required Experience

One to two years of relevant experience in the field. Candidate must be proficient in Microsoft Office Suite and Adobe Creative Suite applications. Strong
analytical, organizational and time management skills, Excellent verbal and written
communication are essential. Ability to perform advanced research, ability to
prioritize tasks and to multi-task, ability and willingness to learn technology and
software are also required. Ability to work independently and finish tasks by
deadline.
