Job Title: Student Maintenance Assistant position

Reports to: Associate or Assistant Director of Facilities

Summary:

A Student Maintenance Assistant (SMA) is a student position with a focus of providing, consistent, quality service to all members of the campus community.

Employment Period:

Duration of employment will be from Monday, May 9 or Monday, June 6 to Friday, August 19

Job Functions:

Perform various maintenance tasks assigned by supervisors in Athletics, Housing and Residence Life, Memorial Student Center and Physical Plant. Duties will include, but not limited to:

  • Painting
  • Moving furniture
  • General landscaping and grounds keeping
  • Trash Removal
  • Pressure washing
  • Event and A/V set-up
  • Cleaning residence hall rooms, bathrooms, and common areas
  • Assist housekeeping, general building maintenance, and landscaping with assignments over the summer in other areas as needed.
  • Other tasks as assigned

Hours per Week: minimum 20 hours – maximum 37.5 per week

Monday through Friday, 7:00 am to 4:00 pm (some evenings/weekends dependent upon placement)

Job Description

The Desk Assistant (DA) I & II is an important member of the Housing and Residence Life team. Desk Assistant (DA) I & II work in various residence halls during the evenings, weekends, and nights. They are undergraduate or graduate students who ensure a safe and secure environment for residents, as well as excellent customer service to those living/visiting the Marshall University residence halls.

The DA is a paraprofessional employee selected on the basis of leadership skills, experiences, character, and the ability to relate well to others. The DA reports to the Assistant Area Coordinators. Working together, they support and carry out the mission, policies, and regulations of the Department of Housing and Residence Life and Marshall University.

Desk Assistant I & II are expected to be mature individuals who exert a positive influence on the staff and the Marshall University community. They are expected to be concerned and highly responsible individuals who are enthusiastic and have a positive outlook toward Marshall University.

Hours

  • The department offers different shifts for students based on their availability:
  • Day/Evening/Night/Weekend/Holiday Shifts available 24 hours a day and 7 days a week.
  • DA I shift:
    • 8:00 AM to 11:59 PM
  • DA II shift:
    • 12:00 AM to 7:59 AM

Qualifications

  • Should possess an interest and motivation in working with students in a residence hall. Must support and value diversity and inclusion within the residence halls.
  • Completed one full semester of college, post-high school graduation.
  • Must have a minimum cumulative GPA of 2.4 and a minimum semester GPA of 2.4 (undergraduate). Minimum cumulative GPA of 3.0 and a minimum semester GPA of 3.0 (graduate).
    • If the DAs cumulative and/or term GPA drops below a 2.40 (undergraduate) or 3.0 (graduate), sequentially the DA will be placed on probation for one term and will be terminated if the cumulative and/or term GPA remains below a 2.40 (undergraduate) or 3.0 (graduate) at the end of the probationary period (one semester).  GPA probation can only occur once within the entirety of a DAs employment.  Further issues will result in termination of the employment contract.  The Assistant Director of Residence Life may place other sanctions as necessary.
  • Available to work at least two weekends each month & 24 hours in a two week period.
  • Be enrolled in at least 6 credit hours.
  • Be free of current student judicial sanctions at time of application and time of hire.

Desk Assistant I & II Responsibilities

DAs are expected to assume and satisfactorily perform the duties and responsibilities outlined below:

  • Come to work prepared and on time for your shift (i.e. badge, t-shirt, nice bottoms).
  • Work all scheduled shifts or find your replacement to cover your scheduled shift.
    • Work twenty-four hours in a two week period and at least two weekends a month.
  • Use and understand G.E.M.S and Advocate systems
  • Be proficient in mail distribution and handling of misdirected mail. (DA I only)
  • Enforce the University and departmental residence hall guide and policies.
  • Understand limitations and seek appropriate assistance
  • Follow the policies and procedures outlined in the job description
  • Turn in all paperwork promptly and/or by the given deadline
  • Be professional when carrying out all job duties
  • Observe and report occurrences (FIXX, violations, safety concerns)
  • Ensure all verbal and written communication is delivered professionally and timely to all Residence Life staff (i.e. AC, AAC, AD)

Qualifications

Responsibilities

RAs are expected to assume and satisfactorily perform the duties and responsibilities outlined in this document. Resident Advisors

  • Must maintain full-time student status.
    • Without written consent, RAs are expected to take no more than eighteen (18) credit hours per semester as an undergraduate and nine (9) hours per semester as a
    • If RA falls below full-time status, they must meet with AD of Academic Initiatives
  • May not participate in fraternity or sorority recruitment activities during their first semester of
  • Must have their Area Coordinator approve all outside
    • The Resident Advisor (RA) position is a 20-hour per week student position and considered your principal out of class
    • REQUESTS – If approved will be limited of ten to twenty (10-20) hours per week for additional employment, providing that the Resident Advisor is not on academic probation during the current semester of additional
  • Resident Advisors understand they cannot work another job during training, opening of the residence halls, closing of the residence halls, or other times when department has deemed high need for staff to be present. (No Exceptions)
    • RA events will take priority over involvement in outside organizations and employment, if an RA event happens at the same time as your organization meeting, event, or outside employment, individuals will need to be at the RA If proper balance is not met between the Resident Advisor position and outside employment, then the Resident Advisor will need to remove themselves from the RA position or the outside employment.
  • Must receive permission from their Area Coordinator before they may participate in student teaching, nursing clinical internships, varsity sports, plays, or major campus leadership positions.

Each Resident Advisor is expected to

  • Serve as a role model for other students and staff by following policies, maintaining GPA requirements, and establishing and maintaining credibility within the floor/wing, building, and University
  • To support all efforts of the Residence Hall Association and Hall Council by encouraging resident involvement and active participation. To meet all expectations related to those organizations as set forth by the supervisor or the Department of Housing and Residence Life.
  • Work to provide open lines of communication to foster a positive living environment (i.e. enforcing policies, holding floor meetings, maintaining bulletin boards, and being a visible presence on the floor).
  • Distribute and collect keys, distribute information as received from Department of Housing and Residence Life, inspect rooms, submit maintenance/housekeeping requests, submit behavioral complaints and incident reports, and prepare Room Condition Reports (RCRs).
  • Attend and participate in all training sessions prior to each semester. RAs should plan to return early for training.
  • In-Service Training programs as provided by The Department of Housing and Residence Life
  • Exceptions to miss any part of training must have a direct academic connection and will be considered for approval by your AC. If the RA must be involved in internships, study abroad opportunities, or other academic opportunities that result in missing training it may result in me forfeiting the RA position.
  • Staff members needing to take class during summer session III will need to seek permission from their AC to enroll in a course. Courses that occur during Fall RA Training staff must receive written permission from AC. Permission will be given on case by case basis if the class is necessary at the Time off from training will not be permitted.
  • Attend and participate in University wide training sessions including but not limited to Campus Security Authority Training, FERPA Training, Active Shooter Training, and Bystander Intervention
  • Attend all staff meetings and scheduled one-on-one appointments with their Area Coordinator, Assistant Area Coordinator
  • Carry out specified procedures for hall opening and closing, both at the beginning and end of each semester as well as during break periods occurring mid-semester. Dates subject to change based on University and department discretion:
  • RAs are required to remain in their building until the building has been officially closed per The Department of Housing and Residence Life guidelines. Staff will be released by the A/AC of the hall once all closing duties have been
  • Be available on the following weekends: Opening Weekend, One of the Herd, Green and White Days, Halloween, Selection weekend (Feb/March), Homecoming Weekend, Finals Weekend, and other days as deemed high traffic days by the department. Advance notice will be
    • Opening, Closing, Selection, Homecoming, and Finals weekends are all CLOSED weekends and staff are expected to remain in Huntington city limits.
  • Participate in weekly and weekend building duty rotation. Duty coverage will be determined prior to the start of each term under the direction of your Switching duty (a whole night) will be permitted only with the permission of your supervisor. Duty covers (a short period of time) are not permitted unless prior approval has been made with your supervisor.
  • Make regular rounds of the entire building (interior and exterior), confronting policy violations, assisting with student concerns, dealing with emergency situations, submitting maintenance requests and duty log as necessary, and utilizing additional Housing and Residence Life staff for assistance when dealing with and reporting situations.
  • Maintain and update bulletin boards and hall decorations on a regular basis, with a mix of informational materials and educational Post all fliers and posters issued by The Department of Housing and Residence Life in a timely manner, and also be timely in removing outdated posters and fliers.
  • Be familiar with and refer students to additional resources when appropriate (such as Housing and Residence Life, Student Health, Counseling Services, Psychological Services, University Police, etc.).
  • Check building mailbox daily.
  • Strictly adhere to all policies and procedures regarding access to and use of building master and all other keys issued for work-related purposes.
  • Assist with recruiting, selecting, and training new staff members.
  • Read and be familiar with the Resident Advisor Staff Manual, Residence Hall Guide, Student Code of Conduct, and all other relevant materials regarding campus resources, policies, and procedures.
  • Additional duties as assigned.
  • Must conduct themselves professionally and exercise common sense and mature, good judgment in interactions or relationships with residents/staff and are strongly cautioned against dating staff/residents, especially those in the community.
    • If potential for such a relationship should develop, the Area Coordinator and the Assistant Area Coordinator will be notified immediately.
    • Oversight conflicts may result in reassignment of residence halls. RA may have to resign from employment if no other option is available.

Community Building

  • Organize, plan, implement, and evaluate Residential Curriculum within the hall as guided by your Area Coordinator and Assistant Area These programs should be of a diverse nature which encourage residents to become active members of their community and emphasize the residence hall as a “Living & Learning” environment.
  • Actively participate in and support campus and departmental programming efforts.
  • Hold floor meetings as needed or directed each semester.
  • Spend adequate time in community and on floor building community and getting to know each resident personally.
  • Encourage personal responsibility on the part of every floor member.
  • In addition to building community, Resident Advisors are required to meet with residents three times a semester through One-on-One Conversations.

Safety/Security

  • Have a working knowledge of fire safety equipment and how to report when tampering with such equipment has occurred
  • Report incidents of theft, vandalism, fire, threatening activity, and/or other situations as indicated through Campus Security Authority training to supervisors and MUPD.
  • Assist with the unannounced fire drill per semester.
  • Explain and enforce all University and Residence Hall policies and procedures
  • Provide factual, accurate information in all community concerns within 24 hours of the incident.
  • Receive approval from the Associate/Assistant Director of Residence Life prior to sharing departmental related information with the media.
  • Work as a liaison to housekeepers and maintenance staff to verify and report repairs and problems when necessary.
  • Maintain confidentiality of student records and incidents.
  • Serve as point of contact to University Administration in case of any emergency.
  • Ensure the physical health and safety of residents and their guests.
  • Knowledge/ Review Emergency Response Plan.

Job Description

Marshall University’s Department of Housing and Residence Life is seeking candidates who are outgoing, energetic, and skilled applicants for a live-on, 20 hour a week graduate assistantship responsible for joint supervision of a campus residence hall community. Assistant Area Coordinators are responsible for assisting professional Area Coordinators with daily management of the residence halls.

Major Responsibilities include but are not limited to:

Supervision and Staff Development

  • Oversee a residential community composed of 250-450 freshmen and upper-class students
  • Assist in the supervision of 6-16 Resident Advisors
  • Supervise approximately 7 to 25 Desk Assistants
  • Full oversight of desk operations
  • Participate in all staff training and selection processes
  • Conduct student staff evaluations

Student and Community Development

  • Assist in the implementation of residential curriculum

Crisis Response

  • Participate in a campus wide on-call system rotation by providing leadership during any crisis in the residence halls
  • Become familiar with and follow all instructional and departmental crisis protocols
  • Coordinates efforts during a crisis with appropriate university departments such as the MUPD, Hospitals, and Fire Department
  • Think critically in crisis situations, provide appropriate referrals, and exhibit sound decision making when assisting students

Department Responsibilities

  • Enforce University and Department policies, including the Code of Student Conduct and Housing and Residence Life Residence Hall Guide.
  • Adhere to mission, vision, ethics, and values
  • Serve on and actively engage in departmental committees
  • Attend schedule Housing and Residence Life staff meetings
  • Assist with high profile events (i.e. Homecoming, departmental staff selection processes, and other departmental programs and events)
  • Plan and facilitate the annual Housing and Residence Life Banquet

Qualifications

  • Completion of bachelor’s degree by first day of employment
  • At least 1 year of applicable leadership experience at the undergraduate or graduate level (i.e., RA, an active role in a student organization, etc.).
  • Enroll (or seeking admittance) in a Marshall University graduate program and be enrolled full time in that program
  • Maintain a 3.0 GPA cumulative and semester GPA
  • Valid Driver’s license

Conditions of Employment

  • Complete 20 hours of work per week.
  • Must be enrolled in at least 9 hours of graduate coursework.
  • Maintain a minimum cumulative and semester GPA of 3.0.
  • The term of appointment is for the 2023-2024 academic year.
  • Reappointment is based on performance and is renewable upon evaluation, and consent of the Assistant Director for Academic Initiatives.
  • Assistantship will begin July 1, 2023, through May 31, 2024.
  • Outside employment must be approved by the Assistant Director for Academic Initiatives. Approval will be based on position and academic performance; outside employment cannot interfere with GA responsibilities.
